Use meaningful award results

Monitor awards calendars for the correct publication year

While the book is eligible, check the awards calendar monthly against each program's current cycle, because windows open and rules change after the calendar was built.

Why it matters

Award programs are keyed to publication year, and the year moves on whether or not you are watching. A monthly check is what turns a calendar into a plan: it catches the program that opened early, the deadline that moved, and the cycle you are about to age out of. Missing an eligibility window is the one awards mistake that cannot be corrected.

How to do it

The full walkthrough

The awards calendar built before publication was accurate on the day it was built. Award programs then publish new cycles, move deadlines, rename categories, and occasionally change the eligible publication window. A book's eligibility for most programs runs a year or two from publication, and during that period the calendar needs a monthly look.

Each month, open the official page for each program on the calendar and check: has the cycle for your publication year opened? Have the deadlines or fees changed? Is the book still inside the eligible window? Has a new program appeared that fits? Update the calendar with the date checked, and move anything with an approaching deadline onto the immediate to-do list.

Traditionally published authors should share the monthly findings with the publisher for any program it enters, and ask again about programs it declined earlier if circumstances have changed (a strong review, a rights sale). Hybrid and self-published authors act on the calendar directly. The awards directory on this site records verified deadlines and shows when a listed deadline has passed, which is a useful cross-check but not a substitute for the official page.

When the eligibility period ends, mark the calendar closed for that book and keep it as the starting point for the next one.

Common mistakes

  • Trusting last year's deadline for this year's cycle.
  • Checking the calendar only when an award email arrives.
  • Missing the window because the program's cycle year did not match the publication year in the way you assumed.
  • Continuing to enter programs after the book has aged out of eligibility.

What done looks like

  • A monthly check of every program on the calendar against its official page, with the date recorded.
  • Deadlines, fees, and eligibility windows updated as programs publish new cycles.
  • Approaching deadlines moved onto the active task list with enough lead time for copies and fees.
  • The publisher told of any changes affecting programs it handles.
  • The calendar closed when the book's eligibility ends, and reused for the next book.
